We have a Career Opportunity for an Executive Coordinator to Join our Team!

The successful candidate will report to the Vice President of Capital Programs and Engineering (CP&E) and provide support to Directors with CP&E. This support would include the Energy Distribution, Plant Engineering, Program and Technical Services, Quality Systems, and Underground Engineering and Construction teams. Responsibilities would include contracting support, program and project support, and fostering quality initiatives.

Incumbent must be independent and self-motivated to assume responsibility to ensure tasks are completed in an accurate, timely and confidential manner while maintaining a high level of trustworthiness in handling private and confidential matters, and exhibiting values aligned with departmental and Citizen’s goals. The incumbent will proactively seek ways to relieve executives of matters and tasks that do not require their personal attention; oversee administrative functions and other related functions for the department on a routine basis; and providing on-going support to the broader administrative team.

Key Responsibilities and Expectations:

  • Provides support to the CP&E Vice President and CP&E Directors in their day-to-day tasks including preparation of documents of sensitive and confidential nature for internal and external customers.
  • Manages/coordinates detailed documentation, recordkeeping functions, scheduling, and event planning for CP&E staff to include but not limited to CP&E reports, project documentation, budgets, conferences, lunch & learns, Technical Advisory Group meetings, and professional documentation. Coordinates efforts between departmental staff and is involved in support of new employee orientation.
  • Serves as a resource for supporting the development and maintenance of area iTrust site and monitoring and timely response of email inquiries. Provides training/support on basic software applications, technical devices set up, and assistance in troubleshooting certain related issues.
  • Manages/coordinates special Citizen functions, trainings and tracks attendance and any applicable training events; directs and/or participates in planning committee meetings and coordinates between other necessary Citizen’s employees to ensure complete success of the functions.
  • Acts as coach, advisor and administrator of Citizen’s policies/procedures for staff and department management to ensure departmental compliance with Citizen’s mission, vision and values.
  • Initiates and finalizes Accounting and Purchasing tasks to fulfill the workflow and payment for contracts and supplier requisitions or goods and services
  • Checking, prioritizing, documenting, filing, scanning, and initiating leadership signatures as needed on contracts, mail, and documents daily. 

Qualifications and Requirements:
  • Associates Degree or high school diploma and equivalent work in a bachelor’s program preferred to include general HR (benefits, compensation), general accounting (knowledge of accounting functions, purchasing and/or procurement), and organizational behavior.
  • A minimum of three (3) years of experience with demonstrable proficiencies in the tasks related to this job description.

Preferred Skills/Qualifications:  
  • Bachelor’s degree from an accredited higher learning institution.
  • Proficient with various computer software packages, especially Microsoft Word, Excel, Access, Outlook, PowerPoint, Oracle, and Customer Suite. Must have knowledge of printers, facsimile machines and photocopiers. 
  • Possess good grammar, punctuation, and spelling skills and be willing to learn new tasks or software to provide the flexibility required for continual improvement and to meet customer needs in a fast-paced, constantly changing environment.
