We have a career opportunity for a Senior Executive Coordinator to join our team!

The successful candidate provides high-level administrative support to three Senior Vice Presidents and serves as back up to the Executive Assistant to the President. The Senior Executive Coordinator works effectively to keep the Executive staff well informed of upcoming commitments, deadlines, and related matters. The Senior Executive Coordinator may also serve as a liaison to the Board of Trustees, Board of Directors, Senior Vice Presidents, Vice Presidents, Manager of Governance and Board Affairs and other members of senior leadership. The Senior Executive Coordinator organizes and coordinates executive outreach and external relations efforts. The Senior Executive Coordinator must be able to successfully work within a fast-paced environment. The ideal individual will have the ability to exercise good judgement in a diversity of situations, with strong written and verbal communication, administrative and organization skills, and the ability to maintain a realistic balance among multiple priorities.  

Key Responsibilities and Expectations:

  • Administers activities of the office including managing, preparing written communications, and organizing and maintaining paper and electronic files in an organized and professional manner.
  • Manage sensitive matters with a high level of discretion, confidentiality, and good judgment to handle C-Level matters.
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations for which the executive is involved.
  • Be responsive to emails/text/phone calls, with contact outside normal business hours. 
  • Establishes and maintains an effective working relationship with the President/CEO, executive leadership team, and the Senior Vice Presidents, the Board of Trustees, the Board of Directors, other stakeholders and the general public.
  • Excellent communication and time management skills; proven ability to meet deadlines. 
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
  • Arrange travel and accommodations for executives. Prepare and submit expense reports.
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Welcome Executive’s guests by greeting them, in person or on the phone, answering or directing inquiries.
  • Read, research, collect, analyze and prepare information for review in advance for meetings with the executive.
  • Organize complex calendars and schedules, resolving any scheduling issues.
  • Acts as a back up to the Executive Assistant to the President and CEO and The Office of the Board, as needed; performs additional duties as assigned by executives.
  • Manage a variety of special projects as assigned by senior leadership.
Qualifications and Requirements:
  • Associate degree or equivalent experience.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, OneDrive, and SharePoint).
  • Well-developed organizational and effective communication, interpersonal and problem-solving skills; ability to exercise initiative.
  • Ability to function in a high-paced environment.
  • Strong attention to detail, accuracy and ability to perform and prioritize multiple tasks effectively.
  • Excellent writing, proofreading, and editing skills.
  • Able to conduct research and present data in a succinct and well written manner.
  • Flexible hours, including evenings and weekends, as dictated by the needs of the business for projects and meetings.
  • Proven ability to maintain highest level of confidentiality. Highly organized, analytical, flexible with shifting priorities and able to always exercise good judgement.

Preferred Skills/Qualifications:         
  • Bachelor’s degree or equivalent experience.
  • Five - Ten years of experience supporting C-Level Executives.
